The Executive Administrative Assistant provides administrative support to an Executive Leader. The Executive Administrative Assistant is responsible for the day to day business of the office and is expected to carry out multiple administrative duties and provides exemplary communication between the executive's office, management and external resources. The Executive Assistant provides the highest-level of administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
• Provides administrative support to the Senior Management/Executive Leadership.
• Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf.
• Performs work under minimal supervision.
• Handles complex issues and problems, and refers only the most complex issues to higher-level staff.
• Manages and maintains schedules, appointments and prioritize all incoming and outgoing correspondence.
• Prepares invoices, reports, memos, letters, financial statements, and other documents.
• Prepares agendas and make arrangements for committee, board, and other meetings.
• Operates and sets up all office equipment used for various meetings with Executives and leaders outside of the Firm.
• Coordinates and delegates project-based work.
• Coordinates and arranges travel for Executives, Brokers and Management
• Organizes and coordinates client entertainment functions/events.
• Prepares and processes incoming and outgoing mail; prepares responses to correspondence containing advanced.
• Sets up, organizes, and maintains paper and electronic filing systems for records, correspondence, and ensure adequate and appropriate supplies are available.
• Project administration in areas ranging from maintenance to construction and design
• Skilled at Cross-departmental communication, observing confidentiality and compliance guidelines, as outlined by the SEC and FINRA.
• Provide excellent customer service to all Stifel employees
• Heavy invoice preparation and vendor administration.
• Understands and maintains confidentiality and adheres to ethical principles regarding data and information obtained as part of their professional duties.
• Excellent communication skills to effectively communicate with all levels of management and associate.
• Ability to organize, prioritize and manage multiple tasks, responsibilities and deadlines.
• Strong knowledge of administrative and clerical procedures and systems, managing files and records, and other standard office procedures and terminology.
• Knowledge of principles and processes for providing service.
• Minimum Required: Associate's degree or combination of education & experience
• Minimum Required: 6-8 years' administrative experience
• Strong proficiency in Microsoft Excel, Word, PowerPoint, Outlook
